Terms of Service

These terms govern your use of WorkHive ("the Service"), provided by SJC Distributions Limited ("we"). By creating an account you agree to these terms.

Subscription & billing

Free trial is 30 days, no card required. Paid plans bill monthly per site. Cancel anytime — your access continues until the end of the billing period.

Acceptable use

You may not use WorkHive to: process data for unlawful purposes, attempt to bypass security controls, or resell the service without written agreement.

Data & privacy

You are the data controller for your staff records. We are the data processor. See our Privacy Notice and DPA (available on request).

Service availability

We aim for 99.9% uptime on Pro plans (SLA available). Free and Starter plans are best-effort. Scheduled maintenance announced 24h ahead where possible.

HR Helper (AI assistant)

WorkHive includes an optional AI assistant ("HR Helper") that provides general guidance on UK employment law and the ACAS Code of Practice. By enabling and using HR Helper, you acknowledge and agree:

Outputs are general guidance, not legal advice. They are produced by an AI model (Claude by Anthropic) and may contain errors, omissions, or out-of-date information.
You will verify all facts, dates, names, and the legal basis of any output before acting on it.
You will not rely solely on HR Helper for decisions affecting employment status — disciplinary action, dismissal, capability, redundancy, settlement agreements, or anything reasonably likely to lead to a tribunal claim. For those, you will consult a qualified solicitor or call the ACAS helpline (0300 123 1100).
WorkHive (SJC Distributions Limited) accepts no liability for any loss, damage, claim, or tribunal outcome arising from your use of HR Helper or any output it produces. This is a fundamental condition of the service.
Each manager must individually accept a per-user disclaimer before using HR Helper. Acceptance is recorded with timestamp and IP address as evidence of informed consent.
The Owner of your workspace may enable or disable HR Helper at any time in Settings. It defaults to disabled for new workspaces.
Conversations and tool-use queries are stored in your workspace's audit log and processed by Anthropic under their data handling policy. See our Privacy Notice for details.

Letter templates produced by HR Helper carry a "DRAFT — REVIEW BEFORE SENDING" watermark. The watermark must remain in place until you have reviewed and amended the letter. Sending an unreviewed AI-generated letter is your responsibility.

Liability

Our liability is limited to the amount paid by you in the previous 12 months. We are not liable for indirect or consequential losses. Nothing in these terms limits liability for death, personal injury, or fraud.

Termination

You can cancel anytime in your settings. We can terminate accounts that breach these terms with 7 days' notice. On termination, you can export all your data via JSON download for 30 days.

Governing law

These terms are governed by the laws of England and Wales. Disputes go to the English courts.
